COMPARE · OTTER ALTERNATIVE

If you are leaving Otter, it is usually for one reason.

Most people looking for an Otter alternative are not unhappy with the transcription. They have discovered that their most valuable meetings do not happen on a call, so there is nothing for Otter to join, and that the minute allowance does not survive a field rep's week. Knack. is built for exactly that gap: capture on the phone with consent, no minute caps, and the follow-up and CRM update done for you.

Knack costs more and the reason is what it does after the recording, not the recording itself. The number worth checking before you compare price: a rep running three in-home appointments a day at roughly 75 minutes generates about 4,500 minutes a month. Otter Pro allows 1,200, so that plan is exhausted in around six working days, and Pro cuts any single meeting at 90 minutes.

The three reasons people actually switch

There is no call to join. This is the big one. Otter's product is organised around a meeting that exists as a calendar event with a link, and field sales, site visits and in-home estimates have neither. You end up using the phone app as a general voice recorder, which is not the product Otter built or priced.

The minutes run out. Pro allows 1,200 a month and caps a single meeting at 90 minutes. For anyone doing several long appointments a day, that is roughly a week, and the per-meeting cap truncates exactly the end of a long visit, where price and objections live.

The transcript is not the work. A field rep is not going to reread an eighty-minute transcript at nine at night. What they need is the follow-up written and the CRM updated, and no transcription tool does that for a meeting it never attended.

What to look for in an alternative

Capture that does not need a call. If the tool's core mechanic is a bot, everything good about it assumes something your meetings do not have.

No metering. Per-minute pricing quietly changes behaviour: a rep who is rationing minutes stops recording the routine visits, and those are the ones that reveal patterns.

On-device capture. Basements, attics and rural sites have no signal, and a tool that streams will drop the meetings you most need.

Consent handled properly. Recording colleagues on a call is largely covered by the bot being visible. Recording a customer in their own home is a different situation, and around a dozen US states require all-party consent.

Verification. Every claim in a recap should link to the second it was said, because a summary you cannot check is a guess.

And output that leaves the app. If the result is another archive to read, you have moved the admin rather than removed it.

You may not need to leave

If half your week is video calls, keep Otter for those. It is good at them and it is cheaper than we are.

The common arrangement is Otter on the desk and Knack in the field, with Knack as the customer record because that is where the revenue conversations happen. Nobody has to change how they work on the surface the other tool already covers.

Stay with Otter if

  • Your meetings are on Zoom, Meet or Teams
  • Live on-screen transcription is the core need
  • You want a personal archive at a low price

Switch to Knack if

  • Your important meetings have no join link
  • You are hitting minute or meeting-length caps
  • You need the follow-up sent, not a transcript
  • You record customers in their own homes
What is the best Otter alternative for in-person meetings?

Any tool whose capture does not depend on a call. Knack is built for it specifically: phone capture with a spoken consent script, on-device recording that survives no signal, no minute or meeting-length caps, and a recap where every line links to the audio, plus the follow-up and CRM update.

Why does Otter run out of minutes so fast for field reps?

Pro includes 1,200 in-app recording minutes a month. A rep with three in-home appointments a day at around 75 minutes generates roughly 4,500, so the allowance covers about six working days. Business removes the monthly cap but still limits a single meeting to 4 hours.

Can I keep Otter and add Knack?

Yes, and most teams do. Otter for calls, Knack for appointments. Decide which one is the customer record, and if your revenue happens in person, make it Knack.

Is Knack cheaper than Otter?

No. Otter Pro is $8.33 a seat billed yearly against $49 for Knack Solo. We would rather state that plainly: the difference is the work after the recording and the meetings Otter cannot attend, not better transcription.

Does Knack transcribe as well as Otter?

Transcription quality is table stakes and ours is tuned for rooms with several voices at conversation distance rather than one person in a headset. Otter is excellent at live on-screen transcription during a call, which Knack does not attempt.

What about consent when recording customers?

Around a dozen US states require all-party consent for a confidential in-person conversation, and a home carries the highest expectation of privacy. Knack ships a one-line disclosure script and a visible recording state; always asking is correct in all fifty states.

Will my transcripts move over?

They do not need to. Otter's archive stays searchable where it is, and Knack starts building from your next appointment. Because the value is the pattern across many meetings, compounding starts within weeks rather than depending on a migration.

Be there. We'll remember.
