Privacy policy

Who we are

Knack is meeting intelligence for in-person conversations, operated by Builders Lab (“Knack”, “we”, “us”). For anything on this page, write to privacy@theknack.ai.

If you use Knack because your employer bought it, your employer is the controller of your meeting data and we process it on their behalf. Requests about that data may be directed to them.

What we collect

Audio you record. Recordings you start in the Knack app, captured on your device and uploaded to our servers for processing.

What we derive from that audio. Transcripts, speaker labels, summaries, action items, extracted fields (such as outcomes, objections and commitments), chapter markers and search embeddings.

Content you write. Notes, edits to speaker names, action items you add or complete, and documents you generate.

Account details. Your name, email address, password (stored hashed, never in plain text), your organisation and role, and your workspace profile.

Google Workspace data, only if you connect it. See “Google user data” below.

Operational records. Server logs, request timings, error reports and usage counts, which we use to keep the service working and to meter cost. The mobile apps do not currently send analytics or crash reports.

We do not collect advertising identifiers, we do not track you across other apps or websites, and we do not sell personal data.

Recording other people is your responsibility

This is the most important paragraph on the page. Knack records conversations that include people who are not our users. You are responsible for obtaining any consent the law requires where you are. Recording laws differ widely: many jurisdictions, including roughly fifteen US states, require the consent of every party to a confidential conversation, and in some of them a private in-home conversation is the paradigm case. Some are criminal statutes.

We give you the tools and you make the call. Knack does not currently prompt for consent or record that consent was given; a consent step is on our roadmap and this page will be updated when it ships.

How we use it

To provide the product: transcribe your recordings, generate recaps and action items, build your team's searchable memory, and answer questions across past meetings. We also use aggregate, non-identifying operational data to run and improve the service, and we process what we must to meet legal obligations.

We do not use your recordings, transcripts or derived content to train AI models. The AI providers below process your content under their API terms to return a result to us, not to train on it.

Who else processes your data (sub-processors)

We keep this list short on purpose, and we will update it here when it changes.

• ElevenLabs — speech-to-text transcription of your audio.
• Anthropic — summaries, action items, speaker identification and field extraction.
• OpenAI — text embeddings that make cross-meeting search work.
• Supabase — database and audio storage, hosted in Frankfurt, Germany.
• Fly.io — the processing worker, running in Frankfurt, Germany.
• Vercel — hosting for this website and the web app.
• Google — only the Calendar and Drive data you explicitly connect.

Google user data, and Google's Limited Use commitment

If you connect your Google account, we request only what the feature needs:

• Calendar (read only). We read upcoming events so meetings can be matched to the right calendar entry and so attendee names improve speaker identification. We do not create, change or delete calendar events.
• Drive. Used to export your meeting documents into a folder you choose. We access only what you point us at, and we do not browse the rest of your Drive.
• Basic profile and email address, to identify the connected account.

You can disconnect at any time in Settings, which revokes our access token with Google, or revoke it yourself at myaccount.google.com/permissions.

Knack's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google Workspace data for advertising, we do not sell it, we do not transfer it except as needed to provide the feature you asked for or where required by law, and we do not allow humans to read it except with your explicit permission, for security or to comply with the law.

Where your data lives

Storage and processing run on infrastructure in Frankfurt, Germany. Some sub-processors above operate outside the EU, so your content may be transferred to and processed in other countries, including the United States, under the safeguards in their terms.

How long we keep it

We keep your recordings and everything derived from them for as long as your account is active, so that your cross-meeting memory stays useful. We do not currently delete audio automatically after a fixed period. A defined retention window is on our roadmap, and we will state the period here when it is in place.

You can ask us to delete a specific recording, or everything, at any time (see below).

Your rights and how to use them

Depending on where you live, you may have the right to access, correct, export or delete your personal data, to object to or restrict processing, and to complain to a supervisory authority.

To exercise any of these, email privacy@theknack.ai. Deletion is currently handled by us on request rather than by a button in the app; in-app account deletion is on our roadmap. We will confirm when it is done, and we act within thirty days.

Security

Recordings are captured on your device first and uploaded over an encrypted connection. Data is encrypted in transit and at rest, and access is scoped so reps see their own meetings and owners see their team's. Access to production systems is limited and audited.

No system is perfect. If you find a security problem, please tell us at privacy@theknack.ai before disclosing it publicly.

Children

Knack is a business tool and is not directed at anyone under 16. We do not knowingly collect their data.

Changes

If we change this policy in a way that matters, we will update the effective date above and tell account holders. Continuing to use Knack after a change means you accept it.
